Executive and Events Assistant in Financial Services

One of our clients, a global financial services firm based in Boston, is looking to bring on a professional and energetic Executive Assistant for their Corporate Finance department. This Executive Assistant will support several senior members of the team, providing general administrative support as well as assisting with philanthropic events. The ideal candidate will have a positive attitude, exceptional organizational skills, strong communication skills, and is someone who is effectively able to juggle competing priorities. Responsibilities:

  • Managing a complex calendar with a heavy schedule including planning meetings, arranging calls, and coordinating travel
  • Handling logistics for internal and external meetings, such as coordinating schedules, travel, and materials
  • Working with others to coordinate a large annual event involving the Senior Director, including arranging mailings, tracking invitations, ordering supplies, and coordinating social events
  • Screening and directing all correspondence over phone, email, and mail
  • Processing expense reimbursement, invoices, and other documents
  • Assisting with managing the database and additional projects, working with Excel and PowerPoint
  • Providing additional personal support as needed

Requirements:

  • Bachelor’s degree preferred
  • 3+ years of experience in administration, ideally in professional services; financial industry experience a plus
  • Excellent written and verbal communication skills, service-oriented, personable demeanor
  • Organized, detail-oriented, strong time-management skills, delivers high-quality work within tight deadlines
  • Proactive, takes ownership of role, and can multitask and prioritize assignments effectively
  • Uses discretion when handling sensitive or confidential information
  • Expert knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint
